Overnight shifts: questions to check before approving time records

Review shifts that cross midnight without losing the date, schedule and source-record context needed for a clear attendance handover.

An overnight time record needs both the start and end date, the relevant shift assignment and a clear review period. A clock-out after midnight can look incomplete when a report is read as separate calendar days. Establish the full timeline before deciding whether an entry needs correction.

Reconstruct the complete timeline.

Confirm which scheduled shift the entries belong to and how the system displays dates. Look at the previous and following day where needed. If records come from different locations or systems, confirm the time zone used for display and export.

  • Identify the employee and assigned shift.
  • Write down the start date and time together.
  • Write down the end date and time together.
  • Check breaks and additional entries in context.
  • Confirm the period used for the review.

A worked example: a shift ending the next day.

Consider a fictional shift starting on Monday at 10 p.m. and ending on Tuesday at 6 a.m. If a reviewer looks only at Monday’s calendar-day export, the end event may appear missing. If the reviewer looks only at Tuesday, the same end event may appear unmatched.

The useful unit for this review is the intended shift and its dated events. Check how the system assigns them before correcting a record. The example illustrates record pairing only; it does not determine paid hours, premiums or entitlement.

Investigate gaps without inventing values.

A missing entry, duplicate punch or unexpected date needs the same evidence-based review as any attendance exception. Do not assume that an end time on the next date is an error. Equally, do not assume that every unmatched entry belongs to an overnight shift.

Follow the missing-punch review process to collect context, retain original inputs and document an authorized correction. Keep unresolved questions visible.

Check the cutoff boundary explicitly.

Ask how your organization assigns a shift to an attendance period when the shift crosses a cutoff. Confirm the convention with the person responsible for payroll preparation and document it for reviewers. This is an operational question; entitlement and calculation rules need the appropriate qualified review.

Use the payroll preparation checklist to make sure the final handover identifies open exceptions, the agreed period and the version of the records being used.

Bring a realistic scenario to the demo.

Ask the provider to show a complete cross-midnight record, an incomplete pair and a shift near the cutoff. Check both the on-screen view and any report your reviewers need. Avoid accepting a result based only on a sample row without dates.

The FilWorx HRIS product page describes its attendance scope. Confirm the configuration for your schedules in a demo, including who can review and correct a record.

Count unresolved shift-pairing issues.

Count unmatched start and end records only after applying the agreed shift and date rules. Report how many remain unresolved at handover. Do not infer payable hours from this count.

Keep the period, population and definitions consistent when comparing results. These are suggested measures, not industry benchmarks or observed FilWorx customer outcomes.

The National Privacy Commission’s data-quality principles call for accurate personal data and appropriate handling of incomplete records. Keep the review proportionate to its purpose; a checklist does not establish legal compliance.
