Leave management systems: what HR teams should check before a demo

Compare leave management systems using real workflow questions: request details, schedule context, authorized decisions, privacy and payroll handover.

A leave management system helps teams organize time-off requests and the records used to review them. The useful buying question is not how quickly someone can submit a form. It is whether the team can understand the request, make an authorized decision and carry the correct information into attendance and payroll preparation. For Philippine employers, that evaluation also needs to respect the applicable leave rules and the privacy of employee information.

Start with the request your team actually handles.

A request needs a clear employee reference, leave type, requested dates or hours, and enough schedule context for the reviewer to interpret it. A calendar range alone may not explain which shifts are affected. Decide what a request means for part-day work, overnight shifts or a changed roster before comparing software screens.

Write down who submits the request, who can decide, who covers an unavailable approver and who needs the result. These are evaluation questions, not assumptions that every system supports the same approval chain. If leave is part of a wider HRIS decision, use the HRIS selection checklist to keep the broader scope in view.

Keep policy decisions separate from software convenience.

A displayed balance does not, by itself, answer whether a request should be approved. The reviewer may need to check the applicable entitlement, the employee’s circumstances and the employer’s lawful policy. Do not turn a sample demonstration rule into your company policy.

For Philippine operations, have the appropriate HR or legal adviser confirm the leave categories and rules that apply to your workforce before configuring them. This article evaluates record handling; it does not provide an entitlement schedule. Ask a vendor which rules are configurable, which require manual review and which are outside the package.

A leave request has more than one decision point

An editorial workflow example. Branches show questions for your team; they are not a screenshot or a claim about automatic approvals.

  1. Check the request and schedule

Can the reviewer identify the dates, affected shifts and requested leave type?

If context is missing: return for clarification before deciding.
  2. Apply the confirmed policy

The authorized reviewer checks the relevant rules and records.

If an exception needs advice: refer it to the responsible HR reviewer.
  3. Record the decision

Preserve the decision, responsible person and relevant change history.

  4. Confirm the handover

Check that attendance and payroll preparation use the final authorized record.

A submitted request, an available balance and an approved absence are different states. Keep each one clear.

Test corrections, cancellations and cutoff timing.

The second test should begin after a decision has already been recorded. Change a date, cancel part of the request or introduce a roster correction. Check whether the reviewer can distinguish the original request from the current version and explain which decision still applies.

A late change can affect information that has already been prepared for payroll. Ask who can reopen the issue, how the receiving team is informed and how a correction is reconciled. A shared database or export is not evidence that every downstream step updates automatically. Compare the handover with your attendance exception review and payroll preparation checklist.

  • Ask what happens when the original reviewer is absent.
  • Check what the employee sees after a request is revised or declined.
  • Confirm the treatment of a change received after your internal cutoff.
  • Ask how you retrieve the decision record if the request is questioned later.

Collect only the information needed for the decision.

The National Privacy Commission’s text of the Data Privacy Act identifies transparency, legitimate purpose and proportionality as general privacy principles. It also addresses relevance, accuracy and information that is not excessive for its purpose. These principles provide a basis for reviewing what your leave form collects.

Do not put detailed medical information into a team calendar simply because a form allows free text. Separate the information needed to arrange coverage from supporting information that should be accessible only to an appropriate reviewer. Ask where attachments are stored, who can open them, how access is removed and how your retention policy is applied.

Use fictional employee information during an initial demo. Your privacy lead should review the actual collection purpose, access, retention and handling requirements before real employee records are introduced. A vendor’s privacy statement alone does not verify that your own configuration and practices are appropriate.

Use a short evidence-based demo scorecard.

For each test, record what was demonstrated, what required a workaround and what still needs confirmation. A yes/no feature list hides important differences between a fully demonstrated process and a proposed future capability.

Where FilWorx HRIS fits in the evaluation.

FilWorx HRIS covers employee records, attendance and leave review, and payroll preparation workflows. Bring the sample request, schedule change and cutoff scenario to a demo so the team can confirm the scope that fits your requirements.

Confirm the specific approval configuration, balance rules, access controls and available outputs before selecting a package. Do not infer automatic entitlement decisions, automatic product integration or statutory compliance from the existence of a leave workflow. The goal of the demo is a clear account of what the product supports and what your team must still manage.
